The short answer: for a typical custom stand, plan on roughly €500-€1,200 per m² for design and build. Modular systems start lower, and high-end or double-deck stands go higher. That figure is only part of the bill. Floor space, logistics, installation, furniture, AV and a contingency all come on top, so the real total is often well above the build price alone.
This guide explains what drives the cost, where budgets go wrong, and how to plan a number you can defend internally.
Who this guide is for
You’re likely a marketing or event manager exhibiting in Europe, maybe for the first time or from outside the region. You need a budget before you request quotes, and you don’t want surprises on the final invoice.
Stand cost vs total exhibiting cost
Most budgets go wrong because these three costs get mixed up.
Floor space is paid to the show organiser and is separate from your stand. It varies hugely from show to show, and major international fairs in cities like London, Frankfurt or Düsseldorf can charge several hundred euros per m² for space alone.
Stand design and build is paid to your builder. This is the figure most of this guide covers.
Everything else includes transport, on-site labour, furniture, AV, graphics, travel and staff.
A useful rule of thumb is that your total show cost often ends up around three times the cost of the floor space. Treat that as a sanity check, not a quote.
Realistic cost ranges by stand type
Prices vary between builders, venues and countries, so treat these as planning ranges, not quotes.
Shell scheme upgrade: usually the lowest cost, often €50-€150/m² on top of the basic shell. Best for first-timers and small budgets.
Modular / system stand: roughly €200-€600/m². Best if you exhibit several times a year and can reuse the structure.
Custom stand: roughly €500-€1,200/m². Best for flagship shows and strong brand presence.
Double-deck or complex bespoke: often €750-€1,100/m² or more, plus engineering and approvals. Best for large spaces and hospitality-led stands.
Highly specified bespoke builds with premium materials, integrated technology or unusual structures can exceed these ranges. That’s why a per-m² figure alone is never enough to judge a quote.
Two things shift the number most:
Size. Cost per square metre generally falls as stands get larger, though the total rises. A 9 m² stand costs far less overall than a 36 m² one, but not four times less.
Venue and country. Costs depend on local labour, venue rules and logistics. Germany is often at the higher end, and rules and load-in windows differ between Europe, the UK and Dubai, so your builder’s local knowledge affects both price and risk. Our worldwide build coverage page shows where we deliver.
The costs that surprise first-time exhibitors
These are often missing from a base quote:
Furniture and AV rental. Often around 10-20% of the stand cost.
Logistics and on-site services such as electrics, rigging, cleaning and freight. These can add roughly 30-40% on top of the stand build.
Graphics changes made late, such as reprints after a product or message update.
Overtime labour and storage if schedules slip.
Dismantling and waste removal. See what’s included in our installation and dismantling service.
A price per m² is only comparable when both quotes cover the same scope. A cheaper quote may simply do less.
Worked example: a 24 m² custom stand
This is an illustrative estimate to show how a budget builds up. It is not a Fabrixpo price list, and it excludes floor space, travel and staffing.
Design and build (24 m² × €600-€900): €14,400-€21,600
Furniture and AV rental: €1,500-€4,000
Graphics and printing: €1,000-€2,500
Transport, installation and venue services (about 30-40% of the build): €4,300-€8,600
Contingency (about 10%): roughly €2,100-€3,700
Estimated total: roughly €23,000-€40,000.
Notice how far the total sits above the build line alone.
Custom, modular or turnkey: which gives better value?
Modular suits you if you exhibit often and can reuse the structure. A €12,000 system used at six shows works out at about €2,000 of stand cost per show, before transport and storage.
Custom earns its higher price when your stand has to stand out, carry complex branding or fit an unusual space. See how we approach custom exhibition stands.
Turnkey means one partner handles design, build, logistics, installation and dismantling. It usually reduces the risk of gaps between suppliers and last-minute costs. Our turnkey solutions page explains the scope.
7 ways to control cost without weakening results
Set a clear goal first. Leads, launches and brand awareness need different stands.
Spend on the front of the stand. Visitors judge it in seconds. Keep the rest simple.
Choose size over complexity. A well-planned 18 m² stand often beats a crowded 36 m².
Reuse structural elements and refresh graphics between shows.
Book early. Rushed builds cost more.
Ask for an itemised quote that names what is excluded.
Plan the design before production. Changes after approval are the costliest. Our exhibition stand design team locks the concept before build begins.
Questions to ask any builder before you accept a quote
Does the price include transport, installation and dismantling?
What is excluded: furniture, AV, electrics, venue fees?
Who is on site during build and show days?
Have you built at this venue before, and do you know its rules?
What happens if the design changes after approval?
Can you show comparable stands you have built? You can review ours in our work.

Frequently Asked Questions (FAQ)
How much does a 9 m² stand cost in Europe?
It is usually modular or shell-scheme-based, so the build is a fraction of a larger stand’s cost. Floor space, graphics and logistics still apply.
Is price per square metre the right way to compare quotes?
Only if the scope is identical. Compare quotes line by line.
Do custom stands always cost more than modular?
Per show, usually yes. Over several shows, a reusable modular system can be cheaper.
When should I request a quote?
Ideally 12-16 weeks before the show, which leaves time for design, approvals and production.
Does the stand price include floor space?
Normally not. Space is bought from the organiser separately.
